1. Introduction
At SN Travel Pvt Ltd (“SN Travel”, “we”, “our”, or “us”), we strive to provide our customers with reliable travel services and a smooth booking experience.
This Refund, Cancellation & Amendment Policy outlines the terms and conditions applicable to cancellations, refunds, amendments, and changes to travel arrangements booked through SN Travel.
Our services may include international and domestic tour packages, group tours, flight tickets, hotel reservations, transfers, cruises, visa assistance, travel insurance arrangements, and other travel-related services.
As many travel services are provided by independent airlines, hotels, tour operators, visa service providers, and other third-party suppliers, refunds and cancellations may be subject to their individual terms and conditions.
By confirming a booking with SN Travel, the customer acknowledges and agrees to the terms outlined in this policy, together with any specific booking conditions communicated at the time of confirmation.
2. General Refund Policy
- All bookings are subject to the applicable terms and conditions of the relevant travel suppliers.
- Refund eligibility depends on the type of service booked, the applicable cancellation conditions, the timing of the cancellation, and the amounts already paid to suppliers.
- Certain travel services may be non-refundable, including promotional fares, discounted tour packages, special hotel rates, visa processing charges, and other services designated as non-refundable at the time of booking.
- Any refund will be subject to the relevant supplier’s refund approval and the amount actually recoverable from that supplier, together with any lawful, applicable, and previously disclosed charges.
- A booking deposit or advance payment does not automatically guarantee a full refund if the customer subsequently cancels.
- Customers are encouraged to review the cancellation conditions and refund eligibility before making a payment.
- Where a booking has specific cancellation or refund conditions that differ from this general policy, the specific conditions disclosed to the customer before confirmation will apply to the extent permitted by applicable law.
SN Travel will explain the applicable refund conditions to customers when reasonably possible before a booking is confirmed.
3. Cancellation by the Customer
Customers who wish to cancel a booking must notify SN Travel in writing through our official communication channels.
The effective cancellation date will generally be the date SN Travel receives the written cancellation request, subject to any applicable supplier rules.
3.1 Tour Packages and Group Tours
Cancellation charges for tour packages and group tours may vary depending on the destination, departure date, package type, supplier arrangements, and the date the cancellation request is received.
The following conditions may apply:
- Non-refundable deposits: Deposits paid to secure flights, hotels, cruises, transportation, or other services may be non-refundable where the relevant supplier’s conditions specify this.
- Supplier cancellation charges: Airlines, hotels, tour operators, cruise companies, and other suppliers may impose cancellation penalties.
- Committed expenses: Amounts already paid or irrevocably committed to suppliers may not be recoverable.
- Late cancellations: Cancellations close to the departure date may result in partial refunds or no refund, depending on the applicable booking conditions.
- Failure to travel: Customers who fail to join a tour or travel on the confirmed departure date without providing timely cancellation notice may be treated as a no-show and may not be entitled to a refund.
Where a tour package includes multiple components, the refund amount may be calculated separately for each component according to the applicable supplier conditions.
Important: Group tour packages may involve advance payments and non-refundable commitments to airlines, hotels, cruise operators, and other suppliers. Customers should review the specific cancellation schedule provided for their departure before making a booking.
3.2 Flight Tickets
Flight tickets are subject to the fare rules and conditions of the relevant airline.
- Some tickets are fully or partially refundable, subject to the airline’s rules.
- Promotional, discounted, and certain other fare types may be non-refundable.
- Cancellation penalties and applicable service charges may be deducted where permitted and disclosed.
- Refunds for unused tickets are subject to airline approval and the applicable fare rules.
- Any refundable taxes or charges will be handled in accordance with the relevant airline’s rules and applicable law.
- If a customer requests cancellation after the ticket has been issued, the refund amount may be limited or may be zero.
SN Travel cannot guarantee that an airline will approve a refund.
3.3 Hotel Reservations
Hotel bookings are subject to the cancellation and refund conditions of the relevant accommodation provider.
- Flexible bookings may qualify for a refund if cancelled within the permitted cancellation period.
- Non-refundable hotel bookings are generally not eligible for refunds unless the hotel approves an exception or applicable law requires otherwise.
- Late cancellations and no-shows may result in the loss of the full accommodation payment or the applicable cancellation penalty.
- Refunds for prepaid hotel bookings depend on the hotel’s applicable terms and approval.
3.4 Visa Assistance and Visa-Related Services
Visa applications are subject to the requirements and decisions of the relevant embassy, consulate, immigration authority, or authorised visa service provider.
- Visa application fees, embassy fees, consular fees, and other third-party charges are generally non-refundable where the relevant authority or provider does not refund them.
- Service fees for visa assistance may be non-refundable once the relevant work has commenced, to the extent permitted by applicable law and the agreed service terms.
- Visa refusals, delays, additional document requests, or processing delays do not automatically entitle the customer to a refund of charges already incurred.
- Where a visa application has not been submitted and no corresponding service has been performed or cost incurred, any refund will be assessed according to the agreed service terms and applicable law.
SN Travel does not guarantee visa approval. Visa decisions, processing times, and requests for additional documentation are determined by the relevant authorities and are outside our control.
3.5 Travel Insurance
Travel insurance policies are subject to the terms and conditions of the relevant insurance provider.
Any cancellation, refund, or claim relating to an insurance policy must be assessed in accordance with the insurer’s rules and the policy purchased.
Customers should contact the relevant insurer for information regarding policy cancellation, premium refunds, and claims.
4. Cancellation by SN Travel
In certain circumstances, SN Travel may need to cancel a tour or travel arrangement due to operational difficulties, insufficient group participation, supplier issues, or other circumstances affecting the planned service.
Where SN Travel cancels a service, we will inform affected customers as soon as reasonably practicable.
Depending on the circumstances and applicable supplier terms, SN Travel may offer:
- An alternative departure date.
- An alternative tour package or travel arrangement.
- A travel credit, where agreed by the customer.
- A refund of eligible amounts in accordance with the applicable booking conditions and law.
Where SN Travel is responsible for the cancellation, any refund or other remedy will be determined in accordance with the agreed booking terms and applicable consumer protection laws.
SN Travel will not automatically treat every supplier-related issue as a customer cancellation. We will communicate the available options based on the specific circumstances.
5. Flight Schedule Changes and Airline Cancellations
Airlines may change flight schedules, delay flights, cancel services, or make other operational changes.
When such changes affect a customer’s booking:
- SN Travel will communicate material information received from the airline as reasonably practicable.
- Rebooking, alternative flights, refunds, and other remedies will be subject to the airline’s applicable conditions and relevant passenger rights.
- Any refund or compensation entitlement will depend on the circumstances, the airline’s obligations, the applicable booking terms, and relevant law.
- Additional costs for voluntary changes requested by the customer may apply.
Where a flight is cancelled by the airline, customers should not assume that the booking will be treated in the same way as a voluntary cancellation. Refund and rebooking options will be assessed under the applicable airline conditions and legal requirements.
6. Amendments and Changes to Bookings
Customers who wish to amend their bookings should contact SN Travel as soon as possible.
Requests to change passenger names, travel dates, destinations, hotel arrangements, or other booking details are subject to availability and the conditions of the relevant suppliers.
Amendments may incur:
- Airline change fees and fare differences.
- Hotel amendment charges.
- Tour operator or ground service fees.
- Visa reapplication or document processing fees, where applicable.
- Additional administrative or service charges that have been disclosed and are permitted by applicable law.
Some bookings may not permit amendments.
SN Travel cannot guarantee that a requested amendment will be approved by the relevant supplier.
Any additional payment required for an amendment must be settled before the amended arrangements can be confirmed, unless otherwise agreed in writing.
7. Passenger Name Changes and Substitutions
Passenger name corrections and substitutions are subject to the rules of the airline, hotel, tour operator, visa authority, and other relevant suppliers.
Minor name corrections may be possible in certain circumstances, but name changes or passenger substitutions may be restricted or prohibited.
Where a substitution is permitted, additional charges may apply.
Customers are responsible for providing accurate passenger details before tickets and other travel documents are issued. Any costs arising from incorrect information supplied by the customer may be charged to the customer where permitted by applicable law.
8. No-Shows and Unused Services
A no-show occurs when a customer fails to use a booked travel service without cancelling it within the applicable cancellation period.
Examples include:
- Failing to report for a confirmed flight.
- Failing to join a group tour on the scheduled departure date.
- Failing to check in at a hotel within the permitted period.
- Missing a confirmed transfer, cruise, excursion, or other scheduled service.
Unused services may be non-refundable, depending on the supplier’s conditions and applicable law.
Customers who expect to miss a scheduled service should contact SN Travel immediately so that any available alternatives can be explored.
9. Force Majeure and Extraordinary Circumstances
Certain events beyond the reasonable control of SN Travel or its suppliers may disrupt travel arrangements.
These may include:
- Natural disasters and severe weather events.
- War, terrorism, civil unrest, or security incidents.
- Government restrictions or border closures.
- Epidemics or pandemics.
- Airport closures and major transport disruptions.
- Other extraordinary circumstances that make travel impossible or materially affect the planned arrangements.
In such circumstances, SN Travel will assess available alternatives in coordination with relevant suppliers.
Depending on the circumstances, customers may be offered rebooking, a travel credit, a refund of eligible amounts, or another appropriate remedy.
The availability and amount of any refund will depend on the applicable supplier conditions, the circumstances of the disruption, the services already provided, and applicable law.
Nothing in this section excludes or limits any mandatory rights or remedies available to customers under applicable law.
10. Refund Processing
Where a refund is approved, SN Travel will communicate the applicable amount and the expected processing arrangements.
Refunds will generally be made through the original payment method where reasonably possible. Alternative methods may be used by mutual agreement or where necessary and permitted by applicable law.
The processing time will depend on factors such as:
- Approval by airlines, hotels, and other suppliers.
- The time required to recover funds from third parties.
- Bank and payment processor procedures.
- The payment method used.
- Any applicable verification requirements.
SN Travel will provide updates where reasonably practicable if a refund is delayed.
Any processing timeline communicated to a customer is an estimate unless expressly confirmed otherwise. This does not override a shorter deadline imposed by applicable law.
Where only part of a booking is refundable, the refund will be limited to the eligible amount, subject to the applicable booking conditions and legal requirements.
11. Refunds for Payments Made Through Third Parties
If a customer pays directly to an airline, hotel, insurance provider, payment platform, or another third party, the relevant provider may be responsible for processing the refund.
SN Travel may assist the customer with communication or documentation where the booking was arranged through us. However, the final refund decision may rest with the relevant provider.
Customers should retain their booking confirmations, payment receipts, and other supporting documents to facilitate refund requests.
12. Disputes and Refund Enquiries
Customers who disagree with a cancellation charge or refund decision should contact SN Travel with their booking reference and relevant supporting documents.
We will review the matter and communicate our response within a reasonable period.
Where a dispute concerns an airline, hotel, insurer, or other independent supplier, we may need to obtain additional information from that provider before reaching a conclusion.
Nothing in this policy prevents customers from exercising any rights available to them under applicable law.
13. Customer Responsibilities
Customers are responsible for:
- Reviewing booking confirmations and the applicable cancellation conditions.
- Providing accurate passenger and travel information.
- Checking passport validity, visa requirements, and other travel documentation requirements.
- Informing SN Travel promptly of any requested cancellation or amendment.
- Retaining payment receipts and booking confirmations.
- Reviewing relevant airline, hotel, insurance, and other supplier conditions before confirming a booking.
SN Travel recommends that customers consider suitable travel insurance that covers eligible cancellation, medical, baggage, and travel disruption risks.
Insurance coverage is subject to the terms of the policy purchased and is not guaranteed for every event.
14. Policy Updates
SN Travel reserves the right to revise this Refund, Cancellation & Amendment Policy from time to time.
Any revised version will be published on our website with an updated “Last Updated” date.
The applicable cancellation and refund conditions for an existing booking will be determined by the terms agreed at the time of booking, subject to applicable law and any subsequent changes agreed by the parties.
Customers are encouraged to review the relevant booking conditions before making a payment.
